[Openglam_members] GLAM Benchmark Survey - Next Steps

How quickly could you set up a new list? – Alternatively, we could also set up a list at  glam-survey-coordination at openglam.ch<mailto:glam-survey-coordination at openglam.ch>
This shouldn’t take more than 24 hours. “ch” stands for cultural heritage, of course. ;-)

I would like to sort that out as soon as possible in order to avoid communication chaos.

I'm +1 to starting a new list, I think that it's natural for initial coordination to occur on OpenGLAM members list and then fork when it gets very detailed. We can still use the public list for important updates and requests for contributions.

@Beat - I'm happy to set you up a benchmark survey list on our servers if that would be useful?

Think that is actually a good idea. We're growing quite fast and not everybody is interested in becoming an openGLAM working group member. Also we flood the members list with benchmark messages, making it easier to miss others if you're not involved in it. If that could be a list that Beat has admin access to that would be perfect.

What do the others think? – Especially those who were in favor of using one of the existing lists at the last meeting?
Should we just move to a separate mailing list to coordinate the survey? That would make life probably a bit easier… ;-)

Thanks for your reply and raising some really important questions. OpenGLAM Working Group membership was something I believe we discussed in detail at the start of 2012.

We need to distinguish 2 things:

 *   The OpenGLAM public mailing list "open-glam at lists.okfn.org<mailto:open-glam at lists.okfn.org>" <open-GLAM at lists.okfn.org<mailto:open-GLAM at lists.okfn.org>> which has almost 500 members and is open to anyone to sign up via OpenGLAM.org
 *   The dedicated (much smaller) OpenGLAM Working Group list (openglam_members at lists.okfn.org<mailto:openglam_members at lists.okfn.org>) which is for the coordination of specific activities. Membership of this group incurs responsibilities as well as tasks
For the survey, I would suggest that :

(a) We maintain a list that coordinates this survey, some people involved may not want to join the OpenGLAM Working Group more generally (anyone who does can email openglam at okfn.org<mailto:openglam at okfn.org> to arrange this)
(b) We use the much larger OpenGLAM public mailing list channel <openglam_members at lists.okfn.org<mailto:openglam_members at lists.okfn.org>> to disseminate the information more widely

Attached is a document further explaining the OpenGLAM Working Group Membership process. As you suggest, I would suggest that we go over this again and perhaps re-draft it on the next call.

In any case, I think at our next OpenGLAM Hangout we should also discuss the question of how we want to further develop our OpenGLAM working group: Do we want to scale it up and include many more members? If yes, how do we go about it?
Just for comparison: The Wikimedia cultural-partners list has ca. 140 subscribers; the Wiki Loves Monuments international coordination list, which is more project oriented, has 280 subscribers. The OpenGLAM Members list, in contrast, has 19 subscribers and 12 working group members are listed on the OpenGLAM webpage: http://openglam.org/working-group/

It's brilliant to see that the OpenGLAM Members list is supporting this kind of action, it's what it's there for! Before adding any new names, could I ask all of the above to email openglam at okfn.org<mailto:openglam at okfn.org> so we can talk more about what is involved in membership to check they are all happy and willing to contribute. We also need to list all members publicly on the website in the interests of transparency, so if they could drop openglam at okfn.org<mailto:openglam at okfn.org> a line that would be great.

Would one of you be ready to help with the project management tasks?

I've just spoken to Lieke about this, and she would be happy to help out here within the time that can be allocated to this. On the next call it would be great if we could assign specific tasks so we can check that what's expected falls within the time that can be allocated to this.

Could you clarify the role of the Open Knowledge Foundation with regard to this project?

The way I say it the OKF given is able to offer a number of things for the project:

 *   Platform for community engagement and dissemination of results (mailing lists, OpenGLAM.org, okfn.org<http://okfn.org>, Twitter etc)
 *   Some limited coordination time from the OpenGLAM Community Manager (subject to time constraints as above)
 *   Publicity of the results and possible workshop space at forthcoming OKFestival in Berlin
It's also worth noting that were we to pursue funding for this, OKF could serve a helpful role in putting together the proposal and endorsing the bid.

I think Lieke, will follow up re: the question concerning Impact and Enumerate and with an update on the NL survey that she is involved in. Hope that clarifies things for now, but happy to discuss any of this in more detail on the call.

Next Steps:

Project organization and the definition of roles will certainly keep us busy over the coming weeks and will be a topic for discussion at our next coordination meeting. Let me make some initial suggestions from where to take discussions further:

Concerning Work Package 1: Project Management

@ Sam / Lieke: Would one of you be ready to help with the project management tasks?

I think it is good practice to define for each work package a co-lead of two persons or a lead and a substitute.
If anybody else is interested in helping with project management tasks, please let us know. In the initial phase, however, I think it is more valuable to the project if you focus on getting your local teams started.

Concerning Work Package 2: Questionnaire Development

There will be a broad review process where all of you will be asked to contribute.
If anybody would like to help with the coordination, just let me know.

Concerning Work Package 3: Pretest

I think the lead here should be with someone from the Dutch team. Maybe you could sort that out at your first Dutch coordination meeting.
Please keep us posted about the progress regarding the building up of the Dutch project team.

Concerning Work Package 4: Partnerships / Funding Requests

@ Susanna: Would you be ready to take the (co-)lead of this work package, especially regarding the funding request to the WMF and possibly other funding requests?
@ Lieke: Could you manage the contact with the two digitization consortia/networks “Impact” and “Enumerate”? Would you be ready to take the (co-)lead of this work package, especially regarding the management of the various partnerships?
@ Joris: Could you clarify the role, Europeana would like to play with regard to this project? Once this is done, would it be possible for you to contact similar organizations on other continents?
@ Sam: Could you clarify the role of the Open Knowledge Foundation with regard to this project?

I believe it is best practice to establish for each partner a document detailing how they will contribute to the project and how they expect to benefit from it. Once agreement on this has been reached and documented, we can officially list them as partners.

Concerning the Local Teams:

I’m glad that so many of you were able to participate in today’s meeting! – The fact that the project is met by so much enthusiasm will certainly act as a motivator to all of us and pave the way through the project’s start-up phase!

I have started to set up a portal on the Outreach wiki that is dedicated to the coordination of our benchmark survey:

It is still quite incomplete. So please jump in and help developing it! – I think we can copy a lot from the Wiki Loves Monuments coordination portal.

Concerning the mailing list, I would suggest that we use the openglam_members list to coordinate the work for the survey, unless some of the other list members are protesting against that plan during the coming days. We are currently 18 people subscribed to this mailing list out of which 9 have already manifested their interest in contributing to the benchmark survey. We can always set-up a separate mailing list later on if needed.

Next week, I’m planning to further develop the wiki pages on the Outreach Wiki, advertise our project among the wider GLAM-Wiki community, and make a few suggestions how to organize our work over the coming weeks.

I think it would be an excellent idea if our Dutch colleagues would meet as soon as possible in order to constitute their local team, to clarify roles and start working towards the pretest.
